EVX Software Chang Log through the years

1.4

The features introduced in this version increase the suite's flexibility to adapt to several business scenarios, allowing managers to include custom properties on every system.

Version 1.4 also presents a new integrated "contextual help" system to guide new users. Help is now introduced in small, contextual text boxes (guidance widgets) that can be closed by the users after they learn the concepts it explains.

The most important new features introduced:

Custom Properties

  • You can now define custom fields for an object type (Note, Company, Document, etc.).
  • Define the fields' type (text, number, date, list, Boolean) and other aspects like marking it as mandatory data, or defining its possible values.
  • Custom properties allow you to adapt Open Goo to your business requirements.

Custom Reports

  • Create custom reports based on an object type.
  • Define conditions and parameters for the report. Now you can execute it whenever you want and optionally print it.
  • Useful to gather relevant object information in a report sheet.

New guidance widgets:

  • Contextual help throughout the application explains how to use different functionalities.
  • New "Getting started" widget shows how to start using Open Goo by following four easy steps.
  • Useful to help and guide new users, and can be easily hidden by advanced users.

Other Improvements:

  • Email notifications improved: more information is now shown, using the recipient's language. --- Notifications can be sent asynchronously through a cron process.
  • Add references to external documents via URLs as files in Open Goo.
  • User-configurable date format, first day of week (Monday or Sunday) and option to show week number in calendar
  • Document previews can be expanded to fill the whole page for easier viewing.
  • Time zones are now handled correctly.

Improvement in version 1.5 include enhancement of several tools and small upgrades that simplify application usability. Email module has the greatest improvements, including: mail signatures, file attachments and attaching other types of system objects. Template module was greatly enhanced, enabling users to define template parameters. Drag and drop functionality was introduced to ease moving and copying objects.

Some of the new features are:

Email module improved

  • You can now email attach files or any type of object as a link.
  • You can define a text signature for each account.
  • Autosave email drafts. When writing an email your progress will be periodically saved.

Drag and drop

  • Now you can change an object's workspaces by dragging the object into the workspace panel.
  • You can also apply tags to an object by dragging an object into the tag panel.
  • You have the option to change an event's, task's or milestone's date by dragging it around in the calendar.
  • Change the duration of an event by dragging its bottom edge.

Templates improved

  • Define parameters for a template that you can fill in when creating the objects.
  • Parameters can be text or dates.
  • This allows you to define templates with tasks or milestones whose dates depend on each other.

Usability improvements

  • Save events and weblinks across multiple workspaces.
  • Smaller popup messages.
  • Start and due dates of a task are now shown on the calendar.
  • Improved user selection interfaces to select subscribers.

More features

  • Recurrent tasks. Allows you to define tasks that need to be done periodically.
  • Administrators now set the default value for user preferences.
  • Group permissions were improved, now you can define permissions for groups per workspace.

Security improvements

  • Password requirement to access the Administration panel.
  • Users IP address are logged when they log in.
  • Permissions for time management.

  • Archive objects and workspaces.
    • When you no longer need an object or workspace you can archive it to remove it from your every day views, while it still is searchable and accessible through the "Archived Objects" workspace.
  • Mark as read/unread for all types of objects.
    • Until now the read/unread functionality was only available for emails. Now it is also available for all other types of content objects. If an object was modified since your last view it will be marked in bold for you to quickly notice that it has changes. Once you view the object it will be marked as read.
  • Tons of improvements to the email module.
    • Share mail accounts among several users. This allows several users to read or write email from one common email account.
    • Assign a workspace to a mail account to automatically classify email to that workspace.
    • Group emails into conversations. Quickly access an email's replies or original message from the email's view.
    • Attach files directly from your computer when writing an email.
    • Send other emails as attachments. Just attach an email and mark the "Attach contents" checkbox.
    • Email Junk folder. Mail classified as spam by your mail server is sent to the "Junk" folder.
    • Emails are sent asynchronously. You can continue working on Feng Office while an email is being sent. Useful if sending email through a remote SMTP server.
    • Create task from email. Shortcut to quickly create a task from an email.
    • Insert inline images into Feng Office emails.
    • Pre-configurations for known emails (Gmail, Hotmail, Yahoo) when setting up an email account.
  • Upgraded the document editor.
    • Improved loading times. The new version loads much faster on all browsers.
    • Improved cross-browser compatibility.
    • Improved functionality. Insert images into a document, from the computer or from Feng Office.

    • Improved workspace permissions edition.

    • Basic editing concurrency. A user is warned if an object being edited was edited by someone else.

    • Received emails with account's email address as "From" were marked as read before being read.
    • Pressing enter on a header field in IE and Opera would send the email.

Improvements in 1.6.2:

  • Added a checkbox to apply a task's assignee to all subtasks.
  • Allow changing the maximum tasks display limit in the Tasks module.
  • Speeded up the quick mark as read (blue dots in listings).
  • Added actions in the email view to move to and out of the Junk folder and to mark as unread.
  • Allow to set a subtask's start and due date when adding it from the parent task's view.
  • Request username when changing an expired password for increased security.

Bug fixes in 1.6.2:

  • When editing a user, the user gained access to your personal workspace if you didn't have access to his.
  • When editing a user's personal workspace you can now chose from all workspaces, not only yours.
  • "Full" search engine now matches words individually instead of matching the whole phrase.
  • White screen of death when downloading files added before version 1.4.
  • Week numbers for January were incorrect.
  • Error 500 when importing companies.
  • Some links in email didn't open in new windows.
  • When creating a contact, objects linked to the contact were ignored.
  • Invalid UTF8 characters are now escaped before saving an email to avoid database errors.
  • Pick date widgets were not being shown full size on IE8.
  • Special characters in vCard files are converted when importing contacts.
  • Improved compatibility with RSS readers - changed the "pubdate" tag to "pubDate"
  • When checking email through cron, the "max spam level" user config option was disregarded.
  • The User column for emails in the Overview List was the owner of the email account and not the user who wrote the email.
  • User with read access to an email account didn't view emails in the Overview List.
  • Missing lang 'success archive files'.
  • The string "None" was hardcoded in English in some fields of the time report.
  • User with permissions to edit owner company data could not edit the logo.

E-mail module improvements

  • As more and more Feng Office users start to rely on Feng's e-mail module, it was time to give the e-mail module a little love and caring.
  • Most operations are now running faster, improving the overall experience of managing e-mail using Feng.
  • Long time request of having the e-mail list refresh automatically is finally included.

Export reports as CSV

  • All reports can now be export as a CSV file. Using this feature you can process the data of the report on your favorite spreadsheet application (i.e.: Excel, OpenOffice Calc, etc.).

Latest activity

  • Do you need to know what's going on in a Workspace? Take a look at the new Latest Activity widget and find what the latest changes are: who's completed a task, which documents have been uploaded, and who's confirmed attendance to a meeting.

Task Subtypes

For those who have been using custom properties in tasks and found that their possibilities were limited, this solves your needs!

What are Task Subtypes? I'll explain through an example. Suppose you work as a Virtual Assistant and register all your pending tasks in Feng Office. Let's assume that as a Virtual Assistant you do translations and SEO optimization.

For each translations you create a task and want to keep track of:

  • How long the document is (Words Count)
  • The source language

For SEO tasks, you wish to register:

  • The URL of the page you wish to optimize
  • The keywords for that page

Using task Subtypes you are now able to adapt Feng Office to your specific requirements. To do it you should complete two simple steps:

  1. Create the Task Subtypes in the Administration Panel
  2. Again through the Administration Panel, define the Custom Properties, setting that they should only apply to certain Task Subtypes

Once setup is over, you can start using task subtypes.

When you create a task, you'll be able to define the Task Type. Once you do it, this setting will determine which custom properties you should enter.

Save sent emails on IMAP Server

Listening to our users we decided it was time for sent emails, to be stored on IMAP servers. The direct benefit is that they will be available in the "Sent Emails" folder of other mail clients and devices (i.e. cellphone).

After your Feng Office is upgraded you will see this new panel while adding or editing your mail account:

Once you fill in the details, all emails you send from Feng Office will be stored in your IMAP server in the folder you chose.

If you are an account administrator, you can turn this feature off . Under Administration -> Configuration ->Mailing you should mark "No" for "Enable IMAP Synchronization when Sending Email".

Login using your email

For your convenience as of this release you will be able to log into all Feng Office installations using either your email or your username. This way you can avoid having to remember yet-another-username. It's very simple to use, just input your email and password on the login screen.

Direct URL

In all system objects you will notice that the Direct URL has been added. This URL can be clicked and it will open a new window or tab showing the same object you are viewing. This URL can be copied and pasted for direct use, or used directly from external apps.

And more ...

Other new features include notifications when there are unsent emails, use of quotations for exact search, new task status filters and export all contacts to vCard.

One very cool milestone has been reached with version 1.7.4: EVX Software is now available in 25 languages (and a few more coming soon).

Bugs fixed

The list of fixed bugs can be read on the release notes. It is not that much fun to list them again, but it is worth commenting that Feng Office robustness, one of the team top priorities (if not "The" top), is greatly improved by this release.

Improved Performance

Performance is another one of the most important characteristics of any information system.

As the number of users and the volume of information stored and managed on our biggest customer accounts increase, some queries start to naturally slow down. Performance issues then become noticeable, and even bothering.

That is why version 1.7.4 includes performance improvements like:

  • Addition of DB tables indexes to improve query performances
  • Improvements on the algorithm for "new e-mail" polling
  • Improvements on the algorithm for "reminders" polling

Again, performance is a critical issue for us. Coming versions will also include additional performance improvements.

1.7.5

Improvement on the creation of a New User:

The information required to create a New User has been optimized. Now, instead of the four fields required (name, email, company and user type) you are only required to fill the first two fields.

Also, the layout has been modified to a more user friendly configuration.

Create a New User while you create a New Task:

In the New Task form we have added the option to create a New User. This benefits the user by allowing the action without having to travel to the administration panel.

Improvements on our Wizard:

The Wizard for new users has been improved. Now it helps new users through the process of creating users. Also, some of the texts have been changed in order to optimize user comprehension.

More Security and Confidentiality:

We have improved the implementation of data encryption (SSL - Secure Socket Layer) to further improve the security and secure the confidentiality of EVX Software.

2.0 Beta

The Summary

EVX Software 2.0 biggest changes lie in its architecture revamp, which brings it another step forward to becoming the ultimate Collaborative Project Management Platform (for thousands of customers, it already is!).

This means a simple installation of EVX Software 2.0 will not look much different from the 1.7.X series (though there are some GUI changes we are still working on - the main one being an easier way to customize the look and feel of the app).

So, without further ado, let's dive into what makes EVX Software 2.0 different.

A Platform

To simplify our messaging, we call EVX Software a Project Management Software.

But if you use EVX Software, you know it is much more than that.

At its core (we'll be talking a lot more about the core from 2.0 and forward) EVX Software is a Collaboration Platform. Much more so with the latest changes.

Information is going to be centered around people, and the way each teams work.

Your team will be able to organize and share the information that they use, the way that they use it, with the tools that better fit their work.

The Plug-ins

The ability to include specific features and behaviors for different teams and businesses' needs is a very desirable one. And EVX Software has always favored the addition of such functionality.

However one of the main issues we had with the previous system was the lack of formal definition and standardization of the Plug-ins system. We had a mixture of Plug-ins and "hooks", which we used for specific cases for specific customers, using different integration techniques.

EVX Software 2.0 core system will be stripped of the consequences of this procedure and will make for a solid and minimalist Platform System.

Multiple Dimensions (for every business need)

Probably the most interesting change in EVX Software 2.0 is the further extension of the Workspaces concepts into 'Multiple Dimensions'.

Workspaces have proved a popular concept amongst the most savvy users of our community. Workspaces can represent a customer, a project, a folder, company division, or any other 'entity' that would contain an important amount of information.

But Workspaces (along with tags) had two limitations:

  • They were limited to 'two dimensions' (Workspaces and tags)
  • 'Workspace' is not a straight-forward name for what you were representing

With the evolution of Workspaces into 'Dimensions', system administrators and integrators will be able to customize EVX Software at each business, calling customers 'customers', projects 'projects', etc.

User Roles

Depending on who you are collaborating with (a customer, a co-worker, a Company Director), you will want to present information differently, prioritizing what matters most to that person. Also, it may be the case you have confidential information that you would not want to disclose.

EVX Software already lets you configure all this for each user, but the administration of it is rather difficult. EVX Software 2.0 will let you pre-configure 'roles' so that you can easily grant the set of access permissions and set the configuration that makes the most sense for everybody.

API

Developers rejoice! We are developing an API! This means you will have a way to easily integrate your apps and add-ons onto EVX Software, without having to mess with its core.

This means easier maintainability and extended business opportunities.

The API is still under development, but EVX Software 2.0 has been developed with this requirement as a top priority.

Mobile Access

Last, but not least, EVX Software 2.0 is a better platform for Mobile Access. Mobile Access is still under development, but we will be sharing more news on this... really soon!

With the great help of our users, we have greatly improved and updated the following translations:

And we even added a new language! You can now use Feng Office in Indonesian!

Tasks

Tasks are our customer's #1 favorite module. So we are always improving the way you can manage your team's tasks with EVX Software.

Here are some of the improvements we have made throughout the latest releases:

  • performance improvements when displaying the tasks list
  • more options in the WYSIWYG editor when creating/editing tasks
  • templates instantiation bugfixes
  • configuration option to show or not milestones

Clients and Projects

Clients and Project data are very sensitive stuff. So new users do not have permission to that information by default. This high level of confidentiality does require EVX Software Administrators to be proactive about Permissions. Now the great news is that permissions for Clients and Projects are much easier to manage.

You can set the permissions for a single client or project by Editing the client or project.

You can also set permissions by defining 'Permission Groups'. Look for the 'Groups' management section in the Administration Panel.

Another very popular request that has made its way into the Client and Project management are the automated formulas for their status.

And yet another popular request to have seen the light: You can prevent users from ever accessing the tasks of their coworkers. This is an additional permission setting that applies to all tasks and all projects. We used to achieve this with sub-folders or sub-workspaces, but this is definitely a faster and more straightforward way of doing this.

Email module improvements

For those of you relying on EVX Software to manage your everyday e-mail, you are going to love the improvements we made. Here are some of the improvements for e-mail:

  • Performance is enhanced when creating a new email/replying to one (The contacts list is now AJAX loaded)
  • Performance is enhanced when deleting an email account and all its associated emails
  • More options in the WYSIWYG editor when composing emails
  • Fixed: Emails with special characters sometimes cause email display errors

Reports

Reports have been worked on too. And for this module too, this is only the beginning!

Some notable improvements on the reports:

  • Reports can display custom property fields.
  • You can now add conditions based on custom properties.
  • Fixed: Exporting reports CSV (Excel compatible)

Calendar

The calendar module has also received some love from our developers.

Here are some of the highlights:

  • Calendar Performance is very noticeably improved
  • Fixed: Printing of the Calendar Monthly View

Documents

The biggest improvements done for the Documents are related to the algorithms for searching inside files of types .doc, .docx, and .pdf. Both results quality and performance have been greatly improved.

Overview tab

The 'Overview tab' is a very important control panel for many users; especially project and account managers. While we prepare even more improvements you can now enjoy a much improved performance when loading all widgets.

EVX Software User Permissions

User permissions in EVX Software are very granular (detailed) and thorough. This makes EVX Software very powerful when setting permissions. But it also adds complexity.

We have made many improvements in the way permissions work.

You can now set permissions on Clients and Projects directly when editing them. The permission components have been changed to make this process much easier.

We have also made several bug fixes that prevented deleting and archiving users after they had created information.

And many more permissions system improvements are on the way!

And much more

Here are some more of the many improvements and fixes the team has been adding to these past releases:

  • Custom properties can now be displayed as columns on the list views.
  • 'Dimension members' (Clients, projects, workspaces, tags) can now be displayed as separate columns on list views.
  • Moving objects to the 'trash', and deleting them from the trash is now much faster.
  • Fixed: Upgrade from 1.X to 2.X handling of custom properties.
  • Several Plugin management improvements and bug fixes.
  • Improved: Browser compatibility (especially 'Internet Explorer').
  • Back: Companies and contacts now have their comments and 1.X fields back again.
  • Improved: Objects can be found by id using the 'Simple Search'
  • Fixed: Display of users on the 'People panel' (bottom left corner of the screen).
  • Improved: Users -in the user management section - are now listed alphabetically
  • Improved: Groups - on group management section - now listed alphabetically

The big focus for EVX Software 2.3 has been on user experience (UX) and, as usual, feature improvements requested by our clients and users, and fixing any bugs.

Here are some of the goodies that all users (and especially newcomers) are going to enjoy:

Usability

We are finally doing long-due UX improvements! We have wanted to do this for -literally- years now. And we are only getting started!

This was the first batch of improvements. We will talk with clients and users to see what their thoughts are.

The UX changes are focused on the first encounter with a new EVX Software. Why? After using EVX Software for a 'short' period (which means a couple of hours for most), users tell us they love it. But the first steps are not the easiest. There is some initial set-up work that seems too challenging for some potential new users.

That is the problem we are trying to solve right now.

Improved view for Documents

Bigger!

Internal Documents are now shown in a wider area so that you do not have to scroll that much

Improved reminders for tasks and events.

When people first start using EVX Software, they are not used to being logged in all day (like we are). So they rely on automatic e-mail reminders more.

You now have the choice of having reminders created automatically when you are re-planning an overdue task.

This is a configuration option that you can change at any time.

Simpler to use widgets

The dashboard widgets are currently the first contact of a new user to EVX Software. These are very important because they make the initial impression.

We have made overall improvements to the way they work.

Configuring behavior

EVX Software remembers a lot of the things you configure: the order of the columns and how you sort your lists, the filters and grouping in the tasks module, etc.

We are extending those features to other actions. For example: when you add your first project, workspace, or client - Feng Office will prompt a question of whether you want to start working on it, or if you would rather add a new one.

Double Click Edit for Projects

Another power-user feature has been added for you hard-core users: you can now double-click on a project, client, or workspace (Anything on the navigation panels on the left side) to edit them.

Try it. You will love it!

Improved: Milestones in templates

Task templates are one of FEVX Software's most magical features. So what better than to improve magic?

Milestones are now easier to include on task templates.

Improved reports

Only getting started here too. But you will be happy to learn that:

Spreadsheet exports improved

CSV (Excel) exports of time reports now list the numbers in separate columns, without any text to complicate your spreadsheet work. (it is now easier and faster to handle formulas, make charts, etc.).

You can delete contacts directly from the People tab

You can delete contacts from the People module (button has been readded)

It is back! This was one of the few features that we were missing from Feng 1.

You can now hide users from the People tab

Improved filter in People module, you may hide users for instance

Custom reports: sort by any column

You can now sort custom reports output by all columns (milestones, assigned to, etc.)

Updated Languages

English, Spanish, Portuguese, and Turkish languages updated.

Added some folders to add Slovenian, Serbian, and Croatian in the near future.

2.3.1

EVX Software 2.3.1 builds on top of the 2.3.0 release to add a number of productivity enhancements, several bug fixes, and lots of little details that have been pending for quite a while now.

Group mailing: Phase 1

Clients using the Advanced E-mail module (These are approximately 30% of our clients), frequently remind us of their need to handle e-mailing to a group of users.

We have planned many improvements on this front, and the first one is already out!

When viewing contacts on the people-tab (This tab has to be activated on new accounts, as it is no longer included by default), you can now select (by checking on them) a group of contacts, and an option to send an e-mail to all of them will become available.

More power for task management

You can now select the date range for the tasks listed on the task tab.

This option applies to both the standard view and the Gantt Chart view.

Quick archiving of projects, clients, and workspaces

Projects, Clients, Workspaces, and just about any information space can now be quickly archived and unarchived through the 'Dimensions' management section at the Administration panel.

Improvements and fixes that were on the top of the wish lists

  • Many improvements and fixes have been developed for the Gantt Chart module.
  • When changing the Overview option to view as a list, the choice is now persistent when moving to other spaces, projects, etc.
  • Comments are now displayed on the 'Activity' widget of the Overview tab.
  • Google calendar synchronization has been improved and bugs fixed.
  • The direct URL for the Contact form is back!

2.3.2

The most important developments are related to new and more advanced access permissions settings. One of the new features is the added possibility of creating tasks -or any kind of object, be it a document, note, event, etc.- without classifying them on any project, client, or workspace and still having them shared with your colleagues! This is especially useful for new installations and new users who do not have a defined project yet, and simply want to manage a few tasks or keep track of a few documents.

Another improvement that many of our clients, as well as newcomers, are asking for is to share Projects, Clients, and Workspaces in an even easier way.. and we have indeed taken note of this request!

From now on when you go to the Overview tab, you will notice the following change in what we call the People widget, showing the users who have access to the project, client, workspace or folder.

Lets take the example below:

We have a project called Shift the Present and we would like other colleagues to access it quickly.

If you click on Add Person Here, you will then be prompted to either add someone from your Team who does not have permissions (such as Sara Roberts in this case) or you may then add a new non-existing user to the system... and voila!

This will definitely save you some time!!

On the other hand, people with thousands of projects and clients being managed in one Feng Office system let us know their concerns about the performance when loading the system. Therefore we have also worked on this and polished the system performance, now it gets to load even faster than before! The same goes when you get to have hundreds of users and new permissions must be reassigned: everything works faster!

Speaking of which, the performance has also been greatly enhanced in the Search engine!

Now you can find your information even faster than before!

Another big development is a setting to allow new users with Management and Executive roles to be granted access to new projects by default. New Feng Office accounts will have this setting on. The goal is to have newcomers start working with new users and new tasks faster, without having to learn and assign permissions right from the start.

Another great release from our development team!

EVX Software 2.4 has seen the light, with lots of new features, and improvements, and thanks to the patience of our beta-testing users tons of bugs squashed!

One EVX Software for all: Simpler installations

One of the very cool features that were added was the choice to enable 'objects' on any part of the system. This is useful for first-time users or installations with only a single project. It allows for an even simpler version of EVX Software where you don't create a project or workspace... nada! You just start adding tasks documents and notes.

Only after you have more than one project, client or workspace you start to classify information.

One EVX Software for all: Sophisticated installations

The opposite behavior as the one described above is, sometimes, the right way: to restrict having unclassified information.

On bigger teams, where the organization of the information is essential to keep order and ensure efficiency, it is a good idea to prevent having information 'out of context'. Put another way: if people start entering notes, documents, or tasks without a specific location -project, client, workspace-, pretty soon that 'root folder' becomes too crowded and unorganized.

That is why there is a configuration setting that enables you to decide whether or not to allow objects on 'root-level'.

Templates

Yay! Hurray! Finally!

EVX Software's best-kept secret just got better!!!

Templates are incredibly powerful and the users that were able to create them love them and the increased efficiency they bring.

But the challenge was in creating them. The process was complex and at times a bit confusing.

So what are the big news? Well now templates are much easier to build. Check the online documentation on templates as we will be updating it this week.

Performance improvements

System performance is one of those items that is always high on our strategic list.

The dev team is committed to keep on working on performance until the system is faster than the eye... and then some more... But there is so much we want to do!

Anyway, we have started to do some heavy work on system performance as well; since our biggest clients keep on growing and their Database and File count keeps getting bigger and bigger. And they want Feng Office to be super fast.

This time it was the turn of e-mail composition, system search, and some Ajax components.

More to come on the next release!

Reports

As mentioned in posts of earlier 2.X releases, reports are one are were we wanted to add lot of improvements. These release was not the exception and the dev team made a few little improvements.

Some were greatly overdue, like the inclusion of the address, phones, webpages, and IM columns for the custom contact reports, displaying the estimated time along with the actual executed time in the time report.

Others, like having EVX Software remember your selection on the time report was one of those suggestions we got from several power-user-clients.

Improvements on the Gantt Chart too

With almost every new release the development team has been giving some love to the Gantt Chart, improving it constantly. Two of the improvements on this release are a wider (and extensible) column for displaying the task "title" and a more accurate way of displaying the time on tasks (showing the sum of the estimated time of the tasks instead of time between the start and end date of a set), which is the way 'estimated time' is summed on the list view.

1- System performance:

We know performance is critical for people using EVX Software for a long while and with tons of information. Therefore we kept on improving it (and will keep on doing so!) even further:

1.1- Whenever you want to create or edit an object, the loading view will respond almost instantly!

1.2- Loading objects (emails, documents, notes, etc.) is much faster than before!

1.3- Normal search and advanced ones got much more enhanced!

1.4- When typing a new email, you no longer have to wait for all the contacts to load in the background if you have over 1.000 contacts (otherwise this would still be fast).

You just need to type 3 letters and the contact will be shown immediately!

2- Multiple Files Upload support:

Yes!! You did not misread!! EVX Software is at last able to support multiple file uploading! This will save you (and us!) lots of time whenever documents must be uploaded either to be sent in an email or to be kept somewhere in the system.

To achieve this, when selecting the files, you just need to press the Ctrl or Shift keys to select more than one at once.

3- Reports Module has been tuned as well:

The reports screen has been widely cleared! Now they are easier to understand, and time reports also support custom properties related to tasks (just like in the old days)

Not only that... We have worked on a new Advanced Reports plugin for those using the Professional or Enterprise Edition.

We will make a new blog post about this later on.

4- Documents notifications have been empowered:

You may now change the notification subject when working on a document, plus, you may also decide whether the document will be attached to the notification or not so that you can avoid having to log in to the system and download the file.

5- Security:

We indeed consider having safe and secure systems is of utmost importance, therefore we have been investigating even further in this field and some protocols and functions were improved a little bit in order to increase security even more!

6- Easier way to declassify information:

EVX Software supports lots of ways to classify or declassify information

Now we have added a new one! If you would like to declassify information you may drag and drop it to the View all option on the left, instead of accessing it, editing, changing where is it at, and saving the changes.

7- Bugfixes:

There are several issues that have been fixed! You may look for the list on the readme file of the 2.5 final version.

1- Dashboard Settings:

Were you wondering how to see only your events and tasks instead of everyone how to move a widget to your right in your Dashboard, or maybe even how to get rid of it?

If that is so... you may now do it!

You just need to Edit your account preferences and access the Dashboard optionssection.

In there, you can play with different options as shown below:

2- Comments Widgets:

On the other hand, taking the opportunity to change our Dashboard a bit, some people were desperate to have a widget including the latest comments, so we added an initial version of it:

3- Languages updates:

Some EVX Software users helped us out by providing us with some updates of the texts in the French, Italian, and Turkish languages respectively.

Since EVX Software is compatible with Google Docs and other online documents, we have introduced a new and faster way to "upload" these aforementioned documents:

As usual, performance kept on improving and now many things take less time to load! The good news is that there still are many enhancements to be applied in this area!

1- A faster and easier way to manage Tasks:

The time you require to perform actions is very valuable, so the faster you can perform them, the better. The Tasks module is by far our most popular one, therefore we wanted to improve it a little bit further so that you can save more time!

From now on you will be able to easily select the Client, Project, Folder, Workspace, or Tag for the tasks at the very moment of its creation or edition, without the need to go for the full-form screen (which takes some more time):

2- An easier way to manage Time Entries:

Just as we improved the Tasks Module usability, we also applied similar changes in the Time Module, making it easier and more convenient to classify your time entries with the sole purpose of saving you time.

3- A faster and easier way to update documents:

Again, saving time is something we consider very important, so if you would like to update a new document, you will now be able to do it with fewer clicks and less idle time as shown below:

4- Task dependencies compatibility with Templates:

Templates are fantastic: they help you to reflect processes and workflows within the system. With them not only you save time whenever you need to create sets of tasks, but you also ensure that every step is followed, without missing any.

On the other hand, EVX Software Professional Edition and Enterprise Edition have Task Dependencies to prevent you or your colleagues from completing one task until its previous task is completed. However, there was no compatibility with Templates... until now! Creating templates with dependencies makes them even more powerful, so we strongly suggest giving this option a go by editing the Templates you already have:

5- Projects, Clients and Tags can now be colour-coded:

Many of our clients who are using Workspaces, and colour coding them, have been asking us to include this feature in the Clients and Projects section thus making it easier and faster to distinguish information.

So, by popular demand, now not only Clients, Projects, and Folders are compatible with this feature, but also Tags!

You simply need to edit the Client or Project in question and select its color:

6- Improved IMAP compatibility:

EVX Software Integrated Email Module (Email client) supports both POP3 and IMAP email accounts. However, IMAP ones were not really that compatible until this Feng Office version. Today onwards you can mark your emails as read or unread in Feng Office and have them marked this way in your mail server so that all of your devices are synchronized!

7- Multiple tasks drag & drop enhancements:

Even though there already is one way to classify multiple tasks at the same time, we have improved the system so that the drag & drop method within tasks works for multiple tasks (and not one by one as it did) when you Group by Clients and Projects, Workspaces, Tags among the different options.

8- Many other improvements:

This version also includes many other improvements but not as major as the aforementioned, and since we do not want you to fall asleep while reading this article, you can get in touch with your EVX Software Account Executive for further information.

1- Improved Overall Performance:

Time is the most valuable asset in your workday, so the faster you can execute your processes, the better outcome you will have.

We've improved the overall performance of the system, making it so it loads and executes processes faster than ever before! Some of the main functions affected by this upgrade are:

  • Initial Loading: Forget loading delays when accessing the system. Now you can log in to Feng and have your system up and running in no time.
  • Navigation Panel: Have all of your information accessible right away without having to wait. Your clients, projects, and workspaces will load up and be ready much faster as well.
  • Overview Panel: The widgets on the overview panel will be accessible much faster as well, especially the People and Activities Widgets.

2- More Gantt Chart improvements!

We released a brand new Gantt Chart not too long ago, with many new improvements and features!

Well... we continued working hard on it, and have added even more improvements that make it more practical to use

  • Hide Left Grid: You can now hide the left grid that displays the task's name and start time.
  • Full Screen Mode: Furthermore, if you only like to see your Gantt Chart, and have no other distractions on the screen, we've enabled the Gantt Chart Full Screen mode.

3- Fully renovated New Contact form:

We've renovated the New contact form, so that you can input all of your contact's information in a much more practical way!

Some of the most significant changes are:

  • Input method: Now the form is separated into two sections: Main Information and Additional Information. Select additional information to input more detailed data for your contact.
  • Name field for phone numbers: For additional phone numbers that may not belong to the contact (Assistant, Family Member, etc.), you can now add a Name to identify the number.
  • Birthday: Add a birthday to your contacts, so that it displays on the calendar view, and never miss a birthday again!

4 - Birthdays!

Many of our clients have asked about birthday reminders for EVX Software, because let's face it, who doesn't love a birthday message on their special day?

Well now that you can input your contact's birthdays on their detail information, you will also be able to view it on your calendar so you can wish them a Happy Birthday!

5- Further improvements:

This version also includes many other minor improvements, but since we don't want to make this post long and dreadful, you can contact your EVX Software Account Executive at any time for further detailed information.

3.0 Beta

The EVX Software team is extremely excited to announce that all the hard work of over a year is finally going to see the light.

EVX Software 3.0 is almost here!!

We know many of you have been expectant of this new version, which pushes a big redesign of our graphic interface.

It is our belief that this is the best EVX Software we have ever produced and that both new and current users will love the many improvements and enhancements.

Let's go through some of the most remarkable improvements that make EVX Software 3.0:

1. User interface, experience, and looks

The graphic user interface has changed, and it has changed a lot!

Everything is cleaner and clearer so that non-essential information does not distract or overwhelm users, making it faster to find that key piece of data you are looking for, saving you even more time.

The overall user experience has been refreshed as well, making the system easier to understand and use (specially for beginners). Now implementing EVX Software for the first time in your organization, or adding a new user to your existing Feng Office system will have a much faster learning curve for your users. They will be able to get up and running with the system in much less time.

2. New 'Getting Started' wizard

In the past, the initial experience for new (unfamiliar) EVX Software users (especially a first-time Administrator) was a little overwhelming.

What can this system do?

Where do I find things?

What should I do first?

Those are the most common questions that new users ask themselves on their first encounter and something that the system wasn't answering by itself.

With the new 'Getting Started' wizard we aim to answer those questions from the start, making the initial encounter with Feng Office a much more intuitive one.

3. User creation and management:

Creating and managing users has never been simpler! The new user form in EVX Software 3.0 is much easier to fill out.

And you have two simple, yet powerful choices:

  • You can get it done by simply adding the most basic information of the user(Name and email address), or
  • You can dig into the user's contact details and permissions with a few extra but easy steps.

This way you can have your colleagues accessing the system right away, with no delays, or give limited and controlled access permissions to external collaborators and clients.

 4. Overview widgets

The Overview widgets are very useful so that you can quickly know the status of everything (Your tasks, events, other people's activities, new documents, etc.).

The widgets have been improved to look better and be easier to manage, so that they display the information you want when you want it!

5. Task management

The new task list makes your task management quicker and simpler than ever before. The new interface and features here make your working day even easier and faster as it allows you to control all of your actions without needing to be all over the place to manage what needs to be done.

By adding a profile picture, you can now immediately establish who is assigned to that task, and be able to stay on top of your team members and identify and assist those that require help or have many due tasks.

6. Time management

It is very important to know how much time you and your colleagues have spent on a task or project so

that you can then calculate these expenses. The easier it is to track these times, the better and more accurate information you will have!

One new way to empower this is through being able to add your worked hours directly from the task list view, without having to spend extra time to access the task itself.

7. Searching and Filtering

The average employee spends 40% of their working time looking for information. That was before they had a collaboration and knowledge base platform that integrated and organized it.

What if you could significantly reduce that time to 10% or less?

That is what EVX Software helps you achieve.

Given that increasing efficiency, saving time (and thus saving money) is of the greatest value to all knowledge workers; not only did we improve the search engine to work more efficiently - but we have also introduced a new and faster way to search all your objects, including documents, notes and emails.

8. Further improvements

These are only some of the many major changes we are making for EVX Software 3.0. There are many more forthcoming improvements we will soon implement, so we can make the EVX Software user experience the very best.

All of the improvements in EVX Software 3.0 and upcoming versions aim for the user to feel more comfortable, guided, and familiar with the system, so that all users know they can rely on EVX Software to benefit and help their own, their managers, and their team's day-to-day work.

Upcoming EVX Software 3.X series will be adding (among other improvements): Given that increasing efficiency, saving time

  • Improved APIs and plug-in marketplace. With a stable and high-performing platform in place, the overdue improvement of the EVX Software API is a firm priority in our Roadmap for 2015, along with the creation of a marketplace for community and partner-developed add-ons.
  • The possibility for you to execute reports cross-referencing all your Clients, Projects, and Workspaces. Get all of the information just as you want it.
  • Input forms are already easier to fill out with 3.0, but there are many more planned improvements for contacts, users, and tasks.
  • More performance improvements. Performance was at the heart of 2.7.X series and we've continued down that path, to make Feng Office 3.X the fastest EVX Software ever.

3.0

What does "ready" mean?

That EVX Software 3.0 is ready means that we have been using the pre-beta, beta, RC, and RC2 versions internally for over 2 months now, that over 1.000 beta testers have been testing it for the past two weeks, and that all known major and critical bugs have been fixed.

It also means that it is - in the opinion of most of the beta testers - a significant improvement over versions 1.X and 2.X.

Most importantly, it means that it will be much easier for new users, Administrators and end-users, to get started and quickly familiarize with EVX Software.

Also of great importance, it means that we have achieved the ultimate level of foundation that will allow the Development Team to build upon it without having to worry about framework impact. All the pieces of the platform are now in place.

New and improved

Having gone through several studies with new EVX Software users, we identified many elements of the initial approach for new and unfamiliar Feng Office users that could be significantly improved. With this data and a lot of design and tests, we implemented a brand new Getting Started Wizard.

The goal was to make the initial experience with EVX Software a much more intuitive one.

The new wizard guides the users through the initial configuration and first data input, making them feel comfortable at every step and realize the time-saving benefits from the very beginning.

Implementing Feng Office for the first time in your project teams, or adding a new user to your existing EVX Software system, will yield a much faster learning curve for your users.

The new design, usability enhancements, and new features make your working day easier and faster, as they allow you to control all of your project's tasks (or even all your projects) with powerful dashboards and reports, knowing at all times the status, what needs to get done, by whom, and when.

Data entry, task completion, comments... all can be achieved with fewer clicks and intuitive actions.

All of the improvements in EVX Software 3.0, and the upcoming versions, aim for the user to feel more comfortable, guided, and familiar with the system, so that everyone knows they can rely on it to benefit and help their own, their managers, and their team's day-to-day work.

Does this mean EVX Software has achieved all its goals?

Far from it!! EVX Software has a lot of improvements on its Road Map. Too many - in fact - it would be ridiculous to comment here on even a fraction of what we have planned, but, for the curious ones, a few of them have been commented on here.

Some of you will notice that some of the forms have been changed to modal forms. Since it would have delayed the release of 3.0 considerably, we decided to postpone the change of all the system forms to the new format until a bit later in the future.

New button styles. Changes in text alignment and sizes. New input boxes. These are but a few examples of little improvements that will be coming in the near future.

Other (bigger) improvements, like new features and even new modules, will also be making their way in the upcoming weeks and months.

And now that we have the ultimate platform for the upcoming improvements, you will see them coming at a much faster pace!

3.1

Pushing tasks forward?

Ideally speaking one would not have to reallocate resources, set new deadlines, and move around all of the carefully planned tasks. However, this usually is not the scenario that most Managers experience and tasks inevitably have to be moved forward from time to time!

If you are familiar with this situation, we have great news! There is a new helpful feature we have built that will save you lots of time whenever this happens as you would simply need to input how many days and/or hours you would like to push your tasks forward.. and voila!

Do notice this doesn't automatically push forward subtasks and dependencies as many could find this confusing, but you can select as many tasks and subtasks as you want and "mass push" them in one go.

Are you one of those wishing for more flexibility in the Status formulas?

EVX Software lets you manage Projects', Clients', and Prospects' statuses. One can do so manually or through automatic formulas to make things easier and faster.

What has been improved here is the possibility to:

  1. Select multiple conditions to configure the status such as here:
  2. For each new Project, Client, or Prospect, you can now decide whether you want to manage them manually or automatically (in the past it was one way or the other for everything)

Would it not be faster to have contacts created whenever you add a new Client or Prospect to the system?

Most definitely! That is why from now on, you can choose whether you want to create a new contact - be it a person or an organization - with the information you are already inputting so that you do not have to do it twice.

Do you ever wonder whether documents could be shown differently?

Until now when listing documents in EVX Software, one would have to get used to our way of showing information. What we mean is that if you have a folder "A" with subfolders, whenever you stand on "A", you would then not only see documents that belong there but also documents that belong to its subfolders, unlike the traditional view in Operating Systems.

We believe our way is usually more helpful, but sometimes it isn't. Therefore we worked on a new configuration option which lets you choose whether you have one view or the other!!

Do you have colleagues who should have permission to add new Projects but who should not be allowed to edit existing ones?

Depending on how you run your business or organization, sometimes you want your colleagues to access some clients, projects, or other users, but not have the ability to edit them. At the same time, you may also wish for there to be a special permission that allows your team members to edit some of them, but not all, and also to add child nodes (be it a folder, client, project, etc.).

Well, we took these situations into consideration, and from now on there is a whole new level of permissions, making the system even more flexible than before!!

Would it not be great to know if my emails are being opened?

Yes!? We would love that too! That way one can know whether emails are being caught up in our recipients' spam folders and not opened, or when working on a customer acquisition campaign you would want to analyze which subjects worked out and which ones did not.

The good news is that we have already released a prototype of this feature showing how many times the email has been opened, the IP address of the person who opened the email, and when they did so! However, please bear in mind it is not yet fully compatible with all of the email servers out there.

3.2

Enhanced Workflows

Many of you value EVX Software Templates a lot. They make work much more efficient and save tons of time. We love and use them a lot too - so we decided to improve them some more.

You may now set up different kinds of flows upon task completion such as the ability to create a task and set its start and due date upon a task completion.

For example, let's say that after you complete an initial task to "Do A", you want to "Do B".

So, if you complete the task Do A today, the task Do B has to be automatically created, starting today, and ending in 3 days from today.

This way you can define processes and no longer have to have all the tasks created at the start of your process and then have to worry about adjusting dates. It makes for a much more fluent and efficient flow.

Please note: This will be good for some cases, like service management, but might not be the best way to manage a project if you need to have all the dates for all tasks visible for the project, like in a construction project. Here is how the variables look like in this example:

On the other hand, one can also set conditions for task completion, meaning that the system will not allow users to complete a task if there are empty fields. For instance, a task cannot be completed if it has no description or any other field you select.

Custom fields for your Projects, Clients, Folders, and Workspaces

As many of you have already noticed, EVX Software powerfulness comes from its flexibility and extensibility. This is something we are very proud of, and to continue in this line of work, besides being able to add custom fields to your tasks, documents, events, contacts, and other objects, you are now able to add custom fields anywhere else (On what we call 'Dimension-members').

This means that you will have the opportunity to integrate and manage even more information than before, have it organized the way it fits your organization best, and therefore save even more time.

You see, it is all about efficiency.

Improved Projects List

The project list could have used improvements. So we did them.

Improved Clients List

Similar to the Projects List, it is now much easier to manage your clients and also leads and prospects.

New: Invoicing module

Yes! You can now manage and print invoices from EVX Software. Other than just printing them, it will make your life easier to manage which invoice has been paid for and which one has not.

Google Calendar sync updated and improved

EVX Software used to have a working synchronization with Google Calendar. When Google changed its API a few months ago we had to make some amendments on our side. They took longer than we hoped for, but it is done! A big upside is that Google has made Calendar Sync safer than before, but our Design Team took the opportunity to improve our side's user experience too.

Considering 'Non-Working days' for task management

When pushing tasks or creating tasks from templates, sometimes one would like to skip weekends or non-working days such as national holidays, bank holidays, and company holidays. This way you would avoid having tasks on a Saturday, Sunday, or any other day where no one in your organization is supposed to be working.

Resizing of the left panel (and better memory)

This one is actually a re-introduction of a feature lost in an architectural change. But many of us missed it dearly. Now you can resize that panel to best fit your screen and the average length of your data. You can of course still hide it completely, and re-open it with the little arrow on the top.

Not only that, but it will now remember your choice the next time you enter the system. Isn't that a beauty?

Resizing columns on the tasks list

This one is also a pretty cool improvement. You can resize each of the columns of the tasks list. As much as you want. Even wider than your screen, if necessary.

Some users need a very basic version of the tasks. 

While others (Project Managers) may need more details in their task list. 

Separate dimensions columns on the tasks list

Another neat improvement on the new tasks list. You can now choose whether you want to see the dimensions (clients, projects, workspaces, providers, tags) all together (the 'old way') or each one in a separate column.

New power-lists

Long due, the new and improved lists for "dimensions": clients, projects, and workspaces, are now available.

Project Portfolio Managers, Account Executives, and General Managers will all appreciate the value, power, and flexibility of the new lists for clients, Projects, and Workspaces.

Professional Edition: Custom properties for Clients, Projects and Workspaces

Professional Edition users can now define custom properties for Clients, Projects, Workspaces, and on any other active high-level dimensions.

This new and powerful feature enables great flexibility for recording and managing a large volume of data for the main business entities.

After entering this information you will be able to list, sort, group, and report on clients, projects - et al based on the new attributes.

When defining the custom properties you can now sort them (more easily), select whether or not the field is mandatory, and enter default values.

Here is an example of how custom properties can look like in a client:

New custom property of type 'user'

Custom properties are getting more and more useful and powerful.

One type of custom property we didn't yet have was 'user', which allows relating a user in any role for any type of object (even to clients, projects, workspaces, etc).

So this way you can have a "project manager", "project supervisor"," task observer" or "document validator"... possibilities are endless!

(Oh, and wait to see what we are cooking for version 3.4)

Professional Edition: description field for all entities

The 'description' field used to be available for projects and workspaces only. We transformed it into a default-custom property and is available in all entities (including of course clients and folders).

Professional Edition: Non-working days

Thanks to one of our new clients we now have more advanced management for non-working days (holidays).

This increases the automation and efficiency of the management of tasks, enabling the automatic "push" of tasks to fall into working days only.

Custom properties: more power for your data

One of the most loved power features of EVX Software is the ability to create custom properties to extend the default set of data that can be registered with any object on the system.

Documents, tasks, contacts, events, purchase orders, invoices, expenses. Even projects, workspaces, folders, and clients... everything in Feng Office can have as much data as your organization needs!

What is more amazing and powerful is that this information is not just a data record. It is data you can work with. You can list, sort, and filter information using this data.

You can make better and more useful reports. Easily and efficiently.

With the new features and improvements on custom properties, lists can now be sorted and grouped using your custom properties. Data entry can be optimized by placing the properties in the right position, select whether they are mandatory or not, and be placed in different sections of the form.

Custom properties are an essential tool for EVX Software consultants and administrators setting up a business solution. It is not just an enhancement. It is an essential piece for building the best platform for a business.

*Note: you need to request a special plugin to be installed on your account to be able to try custom properties on dimensions.

Object sub-types: Even more power for your data

The latest addition to the EVX Software set of building blocks is object sub-types.

Object sub-types are, in fact, the last piece of the puzzle that allows EVX Software to be the most flexible Business Process Collaboration platform out there.

We just talked about how every object can have its own custom properties. For example, you can add a special field for a task (for example, an ID used by another system, a special category that is business-specific, etc). But what if you need different types of tasks? Or documents?

This is very common in processes that require a lot of data gathering.

You can have a document for a type of process that requires a number of meta-data being recorded (Example: measuring a field, preparing a case, gathering info for a job order, entering who gathered it, etc).

Each type of document (Or tasks, or notes) will have its own set of fields.

And this is what Object sub-types allow.

You should try it. You will be amazed at its power.

Better filters and search

Searching for specific information is now easier thanks to a cool new feature.

Want to narrow down the search for archived, trashed canned, and overview lists objects? No problem, just do it with the new Object Type Filter.

Advanced billing

You can now define different hourly rates for different types of work, clients, projects, and service types... even for the same person!

Also, you can define independent rates for price (for billing purposes) and costs (for expenses).
